Embellish works great solo — but if you have a VA, copywriter, marketing manager, or anyone else who touches your email content, you can bring them in. Here's how team membership works and how to get your people set up.
How to invite someone
Go to Settings → Team from your profile menu in the bottom-left corner
Find the Invite Team Members section

Fill in:
Email — The email address of the person you're inviting
Role — Choose the level of access they need (more on roles below)
Workspaces — Select which workspaces they should have access to. You can choose one or several.
Click Send Invite
Your teammate will receive an email with a link to accept the invitation. The link is valid for 7 days. If it expires before they accept, you can resend it from the Pending Invites section on the same page.
Note: If the person you're inviting already has an Embellish account, they'll be added to your workspace(s) immediately and get a notification email — no acceptance step needed.
Understanding roles
Embellish has four roles, each with a different level of access. Choose the one that matches what you need the person to do — you can always change it later.
Admin
Full control. Admins can do everything: create and delete projects and content, edit the Brand Profile, manage team members, and access billing. They also automatically get access to every workspace in your organization.
Best for: Business owners, co-founders, or operations leads who need unrestricted access.
Manager
Managers can create, edit, and manage projects and content across their assigned workspaces. They can also invite new team members (though they can't invite admins or remove people). They can view and edit the Brand Profile.
Best for: Marketing managers, project leads, or senior team members who oversee content but don't need billing or full organizational control.
Editor
Editors can create and edit projects and content, and leave comments. They can't delete projects, edit the Brand Profile, or manage team members.
Best for: Copywriters, content creators, or VAs who are hands-on with the writing but don't need to manage the team or brand settings.
Viewer
Read-only access to content, plus the ability to leave comments. Viewers can't create or edit anything.
Best for: Clients reviewing work, stakeholders who want visibility, or anyone who needs to see what's happening without making changes.

Managing your team
Editing a team member
From Settings → Team, click Edit next to any team member. From here you can:
Change their role — Select a new role from the dropdown. If you're promoting someone to Admin, you'll see a note that this grants access to all workspaces. If you're demoting someone from Admin, they'll keep only the workspaces you select.
Update workspace access — Check or uncheck workspaces to control where they can work. Non-admin members must have at least one workspace selected.
Click Save Changes when you're done.
Removing a team member
In the Edit modal, scroll to the bottom to find Remove from All Workspaces. This removes the person from your entire organization — all workspaces, not just one. You'll be asked to confirm before it takes effect.
A few things to keep in mind:
You can't remove yourself
You can't remove the organization owner
You can't remove the last remaining admin
Managing pending invitations
The Pending Invites section shows all outstanding invitations. For each one, you'll see the email, role, assigned workspaces, and expiration date.
Resend — Generates a fresh invitation link and sends a new email. Useful if the original expired.
Delete — Permanently removes the invitation. The link will no longer work.
A note on organizations and workspaces
Embellish uses a two-level structure for teams:
Organization — Your top-level account. Everyone on your team belongs to your organization.
Workspaces — Separate spaces within your organization. Each workspace has its own Brand Profile, projects, and content.
When you invite someone, they join your organization and get access to the specific workspaces you choose. Admins are the exception — they automatically have access to every workspace.
This structure is especially useful if you manage multiple brands or work with clients. Each brand gets its own workspace with its own creative context, and you control who can see what.
Who can invite whom
Not everyone can send invitations:
Admins can invite anyone at any role level (Admin, Manager, Editor, or Viewer)
Managers can invite Managers, Editors, and Viewers — but not Admins
Editors and Viewers can't send invitations
If you need to invite someone but don't see the option, check with your workspace admin about your role.
